SYMPOSIUM 8-DAY POST-TOUR CANCELLATION POLICY: REGISTRATION FEES ARE NON-REFUNDABLE AFTER 3/15/2027
A non-refundable deposit of $500 is included in your payment. Cancellations before 1/15/2027 will be charged that $500. Cancellations between 1/15/2027 and 3/15/2027 will result in an additional $200 cancellation fee being retained. No refunds will be paid for cancellations after 3/15/2027, unless there is a waitlisted attendee who is able to join the tour. Cancellations will only be accepted in writing. IMPORTANT MEAL SELECTION INFORMATION:
Meal service will offer one or two standard entrees featuring a meat protein, as well as a vegetarian option. In addition to Vegetarian meals, Vegan, Gluten Free, Dairy Free and Tree Nut Free meals can be prepared. Please note that special meal requests cannot be accepted on-site. Registrants will receive information regarding any choices for included meals in early 2027 when updated Hotel menus become available. Note that no breakfasts and only one dinner are included in the registration. The hotel has an on-site breakfast, lunch and dinner restaurant and a grab-and-go breakfast/lunch café with nearby seating, in addition to a third dinner-only restaurant. There are also restaurants near the hotel that attendees can explore, and many great dining options just a ride-share away; information about off-site dining options will be shared with registrants closer to the event.

IMAGE USE AGREEMENT:
Registration, attendance or participation in any Symposium meetings or activities constitutes an agreement by the registrant to the use and distribution (now and in the future) of their image or voice in live streaming, photographs, video, electronic reproductions, and audio media of such events by the host societies, the venue, the host city or other third parties.
Event Code of Conduct Policy:
The San Diego Rose Society (SDRS) is dedicated to a harassment‐free event experience for attendees. All participants including, but not limited to, attendees, attendees’ guests, speakers, volunteers, exhibitors, and others are expected to adhere to this Event Code of Conduct. This Policy applies to all SDRS events.
Alcohol & Drug Use
In the current legislative environment, certain drug use is legal in many states; inappropriate behavior related to drug use will not be tolerated.
Some events may serve both alcoholic and non‐alcoholic beverages. SDRS expects participants at our events to drink responsibly. SDRS and/or the hosting event staff have the right to deny service to participants for any reason, and may require a participant to leave the event in the event of inappropriate or disruptive behavior associated with alcohol consumption.
Unacceptable Behavior
SDRS has zero‐tolerance for any form of discrimination or harassment including, but not limited to, sexual harassment by participants at SDRS events. This includes:
Harassment, intimidation, or discrimination of any form.
Physical or verbal abuse of any attendee, attendee guest, speaker, volunteer, exhibitor, hosting event staff, or other meeting guest.
Unacceptable behaviors include, but are not limited to comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, national origin, inappropriate use of nudity and/or sexual images in public spaces or in presentations, or deliberate intimidation, unwanted photography/recording, threatening, or stalking of any attendee, attendee guest, speaker, volunteer, exhibitor, hosting event staff, or other meeting guest.
Enforcement & Reporting
Participants asked to stop any harassing behavior(s) are expected to comply immediately.
SDRS reserves the right to take any action deemed necessary and appropriate, including immediate removal from the meeting without warning or refund, in response to any incident or unacceptable behavior, and SDRS reserves the right to prohibit attendance at any future meeting.
If you experience harassment or hear of any incidents of unacceptable behavior, SDRS asks that you contact a SDRS volunteer immediately so that appropriate action can be taken.
PARTICIPANT’S RELEASE OF LIABILITY AGREEMENT:
Participants understand that participating in the Symposium and its related events and tours is their own decision. By registering, participants release the San Diego Rose Society, the American Rose Society and the World Federation of Rose Societies from all liability and responsibility for any injury, death or damage to their persons or properties occurring as a result of their participation. This release includes all officers, directors and agents of the host organizations. Participants agree not to sue SDRS, ARS or WFRS for any claims or damages arising from participation in the Symposium and its related events and tours. If a suit is brought by a participant or on their behalf, the participant agrees to pay the legal costs of the host organizations if they successfully defend such action. Participants will otherwise defend and indemnify SDRS, ARS and WFRS against any claims, losses, or damages they incur as a result of their participation in the Symposium and its related events and tours. This release is made on behalf of each participant and their relatives, heirs or assignees who may have a legal right to make a claim.
Each participant confirms that they have adequate personal insurance, and that they are in proper physical condition to be able to undertake the activities of the Symposium and the related events and tours they participate in. Each participant gives permission for transportation to a medical facility and authorizes any qualified person or medical personnel to provide medical care to them in the event of an emergency.
Force Majeure:
Except where otherwise expressly stated in this agreement, we will not be liable or pay you compensation if our contractual obligations to you are affected by “Force Majeure”. For the purposes of this agreement, Force Majeure means any event beyond our or our suppliers’ control, the consequences of which could not have been avoided even if all reasonable measures had been taken. Examples include warfare and acts of terrorism (and threat thereof), civil strife, significant risks to human health such as the outbreak of serious disease at the travel destination or natural disasters such as floods, earthquakes or weather conditions which make it impossible to travel safely to a travel destination or remain at a travel destination, the act of any government or other national or local authority, industrial dispute, labor strikes, natural or nuclear disaster, fire, chemical or biological disaster, unavoidable technical problems with transport and all similar events outside our or our suppliers’ control.
Tour Activities Not Arranged with Us:
Other tours or activities that you may choose to book or pay for while you are attending our Symposium or its related events and tours are not part of your contracted arrangements with us. For any third-party activity or tour that you book, your contract will be with the operator of that service, not with us. We are not responsible for anything that happens during the course of its provision by the operator.
Emergency Contact Details:
We will ask you to supply the name and telephone number of someone who is not traveling with you, whom we can call in the event of an emergency. Please complete this information on the registration form to ensure we have it well in advance of the events. By providing the contact information, you authorize us to contact this person should we be in a situation where we think it is reasonable to do so.
INFORMATION PRIVACY STATEMENT:
Visitors to the San Diego Rose Society website and participants in its events can expect information privacy. SDRS does not track, store or sell information of any kind.

ADDITIONAL POST-TOUR INFORMATION:
Before you register for the Post-Tour, ensure you have read an agree to the following terms:
By making a booking, all registrants agree that they:
a. have read this Supplemental Agreement as well as all referenced documents and have the authority to be and agrees to be bound by them;
b. is over 18 years of age and will not participate in activities limited by any age restrictions applicable to them in conjunction with the tour, for example, alcohol will not be consumed by a registrant under 21; and
c. accepts financial responsibility for payment of the booking.
POTENTIAL FOR POST-Tour Cancellation: Please note that a minimum number of travelers must be booked on this Post-Tour in order for us to be able to operate it. If we do not receive the required number of bookings, we may be unable to provide the Post-Tour. Therefore, we reserve the right to terminate your booking and provide you with a full refund of all payments you have made to us at that point. If that occurs, we will notify you not less than 45 days before the scheduled start of the Post-Tour. Please note that in such circumstances, we will not be liable to pay you any compensation above and beyond the refund.
